Official Transcript Policy
Please read the transcript request policy below prior to submitting your request.
Student records, including the academic transcript, are protected by the FERPA privacy act. Only the student may request a copy of his or her academic record. Family or friends are not permitted access to student records without the written consent of the student.
Only University of Richmond transcripts may be requested or released. Transcripts and documents from other institutions are the property of the University of Richmond and, as such, are under the control of the Office of the Registrar. Under federal policy, a student has the right to view the documents in his or her file; the University is not required to provide (or allow the making of) copies of these documents. Transcripts submitted to the University of Richmond for admission or credit transfer become the property of the University of Richmond and cannot be returned to the student or forwarded to other institutions.
Fees for Transcripts
Students/alumni receive up to 80 free transcripts. Once 80 transcripts have been issued per person, the following fees will be charged:

Law students applying to clerkships may apply for a fee waiver through the Law School Career Service office
The University Registrar's office does not provide unofficial transcripts. Unofficial transcripts are available online at no charge for current students and students who have left the University within the last 18 months. Those students can log on to BannerWeb, click on the Student Services option, click on Student Records option, and click on the Academic Transcript option.
Students who left the University more than 18 months ago will need to request an official transcript using the Official Transcript Request form.

How to Request a Transcript
An Official Transcript Request form may be filled out online; you may type directly onto the PDF form or print the form and fill out the information by hand. You will need the latest version of Adobe Reader, a free download, to do this.
Financial obligations (holds) to the University must be cleared before requests can be honored.
Requests will usually be processed within three to five business days of receipt. Requests are not processed over the weekend or during University holidays.
Physical Signature Required
All requests must be printed and physically signed (student/alumni signatures required) and returned to the Registrar's Office in person or via fax, mail, or emailed as a signed/scanned PDF. Please note that we do not accept electronic or "mouse" signatures or stamps, and we do not accept links to documents.
Request in Person
The Office of the University Registrar is open weekdays from 8:30 a.m. until 5 p.m. and is located in Sarah Brunet Memorial Hall (back patio entrance). Students and former students are welcome to visit the office and complete the transcript request form for an electronic transcript (if attendance was during or after 1992) or for paper transcripts. Depending on the number of pending requests, paper transcripts can be processed while you wait. Please note, however, that if the number of transcripts pending is high or if transcript verification must be completed (for older student records), it may be 24 hours or more before a transcript is ready. If more than 10 transcripts are needed, the requestor should allow five business days for processing.

You may submit a PDF of the completed and signed Official Transcript Request form to our office at firstname.lastname@example.org. Please note that we do not accept electronic or "mouse" signatures/stamps; all requests must be printed and physically signed (student/alumni signatures required) and then scanned as a PDF. We also cannot accept links to documents.
Types of Official Transcripts and Delivery Methods
The University does not fax any type of transcript.
Standard delivery: Paper transcripts will be mailed through the U.S. Postal Service within three to five business days of receiving your completed form, but the University has no control over delivery once it leaves our office.
Expedited delivery: Either request an electronic transcript (see electronic transcript section below) or sign up for an individual account number with FedEx. Make note of that account number on your transcript request form along with your request to have your paper transcript special handled. You must submit this request to expedite a same-day transcript before 3 p.m. Monday through Friday.
Pickup by requestor: You must have an acceptable and valid ID (proof of identity) with signature and photo. Please present your ID at the time of your request, if the name shown on your primary identification does not match the name on your school records, you will be required to present additional proof of identity. All transcripts must be picked up within 60 days. After 60 days, your transcripts will be discarded and you will need to submit a new transcript request.
Pickup by a designated third party: In addition to the completed/signed transcript request form, you must note on the request form (or submit a separate signed statement) specifying the individual to whom you are allowing release of your official transcript. The person picking up the transcript must present a valid photo ID. All transcripts must be picked up within 60 days. After 60 days, your transcripts will be discarded and you will need to submit a new transcript request.
The University of Richmond now offers an official e-transcript. The content of the official transcript is converted into a PDF document and delivered to the recipient via eSCRIP-SAFE®, the authorized delivery agent selected by the University of Richmond.
- E-transcripts are available only for students entering the University in 1992 to present.
- Although the University of Richmond provides official e-transcripts, some recipients may require official paper transcripts. Please confirm that the recipient accepts official e-transcripts prior to submitting your transcript request.
Once the Registrar's Office has processed the request, eSCRIP-SAFE® will send the recipient an email containing a secure link to access the official e-transcript.
The recipient will have 14 business days to open it. If not viewed during that period, the e-transcript PDF will be removed from the eSCRIP-SAFE® server, and the student must request another e-transcript. Once opened, the official e-transcript will remain available to the recipient for 24 hours after the initial viewing of the document before being deleted from the eSCRIP-SAFE® server. Recipients who have not received the e-transcript should check their spam folder to make sure the email was not intercepted by their spam filter.
Saving Official Electronic Transcripts
The recipient has 14 business days to view the e-transcript, but once viewed, the transcript will remain available for only 24 hours on the eSCRIP-SAFE® server. If a saved copy is necessary, a recipient can follow these approved methods to retain a copy.
- Save the transcript to a document imaging system.
- Save the transcript to a secure storage space.
- Print the transcript and store in secure file space.
No matter which storage method is used, the recipient must make sure the document is secure and FERPA guidelines are followed.
Test for Authenticity
Recipients can verify the authenticity of an electronic transcript by uploading the PDF document into the eSCRIP-SAFE® transcript validation program, Doc-Safe https://escrip-safe.com/validate/transcript.
Students who provide their email address on the transcript request form will receive two notification emails from eSCRIP-SAFE® when the e-transcript has been sent to the designated recipient and when it has been opened by the recipient. If the first email notification is not received, the student should make sure the notification was not intercepted by a spam filter.
